Microsoft 365 for your small business: the checklist
Business email, Teams and OneDrive set up properly and securely. These are the points to sort out right at the start.
For many small businesses Microsoft 365 is the foundation: email, calendar, Teams, Word and Excel, and storage in OneDrive. It is quick to switch on, but the secure settings are not always right by default. Go through this list.
1. Email on your own domain
An address like [email protected] inspires more trust than a free email address. Connect your domain and also add the records that prove your email really comes from you (SPF, DKIM and DMARC). Without them, your email lands in spam more often and scammers can more easily send email in your name.
2. Two-factor authentication for everyone
Turn on a second step for every account, for example with the Microsoft Authenticator app. The vast majority of hacked accounts did not have this enabled. It takes five minutes per person.
3. A separate admin account
Do not work every day with the account that can do everything. Create a separate admin account with a strong password and two-factor authentication, and only use it when needed.
4. Files in one place
Store business files in OneDrive or SharePoint instead of on individual laptops. Then you lose nothing when a laptop breaks or is stolen, and you can work on documents together.
5. Think about backups
Microsoft keeps the service running, but deleted or encrypted files can only be recovered for a limited time. For important data a separate backup is a good idea.
6. Agreements for when someone leaves
Write down what happens when an employee leaves: block the account, change passwords of shared services and forward email to a colleague. That way you do not leave any doors open.
